Section A: Behaviour Policy
1. Policy Statement
We aim to create a safe, positive, and inclusive environment where every child feels supported. We encourage good behaviour through praise, role modelling, and clear expectations.
This policy sets out the behaviour standards we expect from all children and outlines how staff will support and manage behaviour fairly and consistently.
2. Our Behaviour Values
We teach and encourage children to:
- Be kind and respectful to others
- Listen and follow instructions from staff
- Try their best and show perseverance
- Keep hands, feet, and unkind words to themselves
- Take care of resources, the venue, and each other
3. Positive Behaviour Approach
Adventures in Materials and Space promotes positive behaviour by:
- Using praise and encouragement
- Setting clear expectations at the start of each session
- Providing structured routines and engaging activities
- Creating safe spaces where every child feels valued
4. Managing Unacceptable Behaviour
We understand that children may test boundaries or experience emotional regulation challenges, especially in a new environment. Our staff are trained to respond with patience and consistency. Unacceptable behaviour may include:
- Physical aggression (e.g. hitting, pushing)
- Verbal abuse (e.g. name-calling, swearing)
- Bullying or excluding others
- Refusal to follow instructions
- Damaging property or resources
- Leaving the group or venue without permission
5. Steps We Take
- Gentle Reminder – Staff calmly remind the child of expectations.
- Verbal Warning – If behaviour continues, a firm but respectful warning is issued.
- Reflection Time – Child is given time away from the group to reset (age-appropriate duration).
- Parent Notification – Staff will inform the parent or guardian of the incident at pickup.
- Escalation – For repeated or serious incidents, the Site Lead will call the parent and may request collection.
- Exclusion – In extreme or unsafe cases, the child may be temporarily or permanently removed from camp with no refund.
6. Bullying
We have a zero-tolerance policy for bullying of any kind. Bullying includes:
- Repeated teasing or exclusion
- Physical intimidation or threats
- Persistent name-calling or mocking
- Online harassment (if applicable)
All reports of bullying are taken seriously and investigated. Parents of all parties involved will be informed, and action will be taken to protect the wellbeing of all children.
7. Partnership with Parents
We work closely with families to ensure consistency and understanding. You can support us by:
- Sharing any behavioural needs or triggers at the time of booking
- Reinforcing our rules at home
- Keeping an open line of communication with staff

Section B: Terms and Conditions
Overview
These terms and conditions apply to Adventures in Materials and Space: Art and Sculpture Workshops provided by Pangaea Sculptors’ Centre and should be read alongside the information provided on the website and any other associated promotional material.

1. Bookings
All bookings must be made in advance via the online booking system. These will be confirmed by automated email.
No booking will be confirmed prior to receipt of full payment and all child registration documents being completed.
2. Communication
Communications from parents/carers
Communications from parents relating to Adventures in Materials and Space should generally be directed to admin@pangaeasculptorscentre.com, including notice regarding cancellations.
Communications from Pangaea
Communications from Pangaea relating to Adventures in Materials and Space will be made by email. A confirmation email will be sent to the email address provided when the booking was made.
It is the person who made the booking’s responsibility to ensure their email address is working and checked regularly. In some cases, emails might end up in the junk folder, so please check this folder.
3. Hours of Operation (Including Standard and Extended Days)
Workshop Hours and Collection Policy
- Standard workshops: 10am – 4pm, pick up 4pm.
- Wrap-around care (if booked): 9am – 5pm, pick up 5pm.
- Half-day collection: 10am – 1pm, pick up 1pm.
4. Collection
- Children must be collected on time.
- If you are delayed, contact the Workshop Lead.
- If no contact is received within 15 minutes after pickup time, this may result in Social Services being notified.
Note: Repeated late pick-ups may result in refusal of future bookings.
5. Notice of Absence
If a child cannot attend, parents/carers must telephone the Workshop Lead (07984 698124) or Pangaea Office (07814 019384) to allow us to update records.
6. Insurance
Pangaea carries Public Liability Insurance.
7. Health Policy
We require all children who are ill or infectious be kept home for the full duration of their ailment, and for 48 hours after the last symptom occurs.
8. First Aid
A qualified First Aider will be on site during the workshop.
In the event of an incident, first aid will be administered to children in our care, and the emergency services will be called if necessary.
Any pre-existing health conditions or allergies must be declared on the booking form, prior to arriving at the workshop.
We ask that all parents/guardians whose children carry auto-immune injectors speak to the Workshop Manager on their child’s first day to ensure all relevant medication and information has been handed over.
9. Lost Property
Pangaea is not liable for any lost, stolen, or damaged property whilst attending a workshop.
10. Mobile Phones and Electronic Devices
Please discourage children from bringing mobile phones with them as they are often unnecessary and inappropriate during the workshops. We do appreciate that for peace of mind some parents like their children to have a mobile phone for when they are not at home.
Any mobile phones brought should be handed to the Workshop Lead and will be kept until the end of the day.
Parents/guardians are requested to contact the Workshop Lead if they wish to speak with their child during the day.
Pangaea will not take any responsibility for the damage or loss of any electronic devices that are brought to workshops.
11. Inclusion, Medical and Specific Additional Needs
Pangaea will make reasonable efforts to accommodate children with specific additional needs or medical conditions. Parents/carers must inform us of any such conditions before participation and discuss how the child can safely take part.
Decisions on participation are made case by case, based on the child’s needs and available staffing. Pangaea does not provide one-to-one support. While we aim to include all children, participation may be limited if reasonable adjustments cannot be safely provided.
12. English as a Second Language
Pangaea welcomes children of all backgrounds.
For safety and effective communication, children must have a conversational level of English.
13. Behaviour and Code of Conduct
Participants must adhere to Pangaea’s Behaviour Policy as outlined at the booking stage.
14. Data Protection
We may contact you via email with information about our upcoming services. If you do not wish to receive these emails, please let us know.
We do not sell, rent, or lease our subscription lists to third parties, and we will not provide your personal information to any third-party individual, government agency, or company at any time unless compelled to do so by law.
15. Parent Feedback and Complaints
If you have concerns or suggestions, please tell us; we value your feedback and use it to develop and improve our services.
If you have a concern, this should initially be raised with the Workshop Lead. If you are still dissatisfied and wish to make an official complaint, then please send an email to the Director detailing the issue via admin@pangaeasculptorscentre.com.
16. Safeguarding and Child Protection
Pangaea adheres to a Safeguarding and Child Protection policy, which is available on request.
Safeguarding children during workshops is the responsibility of all staff.

17. Refund Policy
Full refunds (minus a £10 booking fee) are available for cancellations made 21 days before the course start date. Cancellations 14–21 days prior receive a 50% refund. No refunds are offered for cancellations within 14 days of the start date, except in cases of illness or exceptional circumstances, when a credit note may be offered upon request with supporting documentation. If we must cancel the course, a full refund or transferable credit will be provided.

Section C: Photography
Photography and Video Consent
Pangaea may occasionally take photographs or videos of children participating in our workshops for promotional, educational, or documentation purposes.
Parents/guardians will be notified in advance via email if filming is planned.
A notice will also be displayed at the workshop.
If you do not wish your child to be photographed or filmed, please inform us by email or notify the Workshop Lead at registration.
By agreeing to below, you give permission for your child to be photographed or videoed during Pangaea workshops. You may withdraw your consent at any time by contacting us.
